Users, roles and permissions

Control who can open which screens and what they may do in each one.

How access works

Each user is given a role, and the role carries the permissions. Permissions are granted per menu and per action — view, create, edit and delete — so someone can record invoices without being able to delete them. Menus a role cannot view are hidden entirely.

The standard roles

You can edit these or create roles of your own.

  • Super Admin — full access, including users, permissions and backups.
  • Admin — full day-to-day access without the most sensitive administration screens.
  • Manager — operational access, plus read-only access elsewhere.
  • Gate Manager — gate operations and related dispatch screens.
  • User — view only.

Adding a user

  1. 1Go to User Management → Users and choose Add.
  2. 2Enter the name, email and a password.
  3. 3Assign the role that matches their job.
  4. 4Save — they can now sign in.

Give every person their own login. Shared accounts make the audit trail meaningless, because you cannot tell who did what.

Adjusting what a role can do

  1. 1Go to User Management → Roles and open the role.
  2. 2Tick or untick view, create, edit and delete per module.
  3. 3Save — the change applies to everyone with that role immediately.

Notifications

Under User Management → Notification Settings, choose which roles are notified when records are created, changed or deleted in each module — so approvers hear about what needs them without watching every screen.
